Guide 09

Set boundaries for actions

Separate independent replies, actions that require approval, and handoff to a person.

Before you begin

A process owner, a list of permitted actions, and access to an activity log or operation history.

What to do

Complete 5 steps

  1. List the actions

List actions individually: answer from the price list, collect a request, change a booking, or send a follow-up message. Assign a permitted mode and an owner to each.

  2. Assign approvals

Decide which actions need approval and what the approver must see: the customer, terms, changes, and data source. Do not treat silence as consent.

  3. Define exceptions

Set rules for missing information, conflicting prices, and requests to bypass restrictions. These situations require a clarifying question or handoff to a person.

  4. Check the history

Review the history of a test operation: who initiated the action, what was approved, and what result was returned. Keep secrets and unnecessary personal data out of the log.

  5. Test the limits

Test failure scenarios and stopping the process. After changing the rules, repeat the key checks and save the version so the team knows which conditions currently apply.

Check the result

Run the scenario with test data. Verify the result in your business system and make sure the responsible employee knows the next step.

This guide explains how to prepare and test a process. Available actions depend on your setup.
